1. Agreement to Terms

2. Services Description

EGEN Event Sdn Bhd provides professional event management and planning services, including but not limited to:

• Corporate event planning and management
• Private event coordination (weddings, birthdays, anniversaries)
• Event production services (sound, lighting, stage setup)
• Virtual and hybrid event solutions
• Exhibition and roadshow management

3. Service Agreement and Booking

3.1 Quotations and Proposals

All quotations and proposals are valid for 30 days from the date of issue unless otherwise stated. Pricing is subject to change based on client requirements and availability of resources.

3.2 Booking and Deposits

A non-refundable deposit (typically 30-50% of the total contract value) is required to secure your event date. The specific deposit amount will be stated in your service agreement.

3.3 Payment Terms

• Deposit payment: Upon signing of service agreement
• Second payment: 30 days before event date (unless otherwise agreed)
• Final payment: 7 days before event date or as specified in contract

3.4 Cancellation Policy

• More than 60 days before event: 50% refund of total fees paid (excluding deposit)
• 30-60 days before event: 25% refund of total fees paid
• Less than 30 days before event: No refund

Force majeure events may be handled on a case-by-case basis.

4. Client Responsibilities

Clients agree to:

• Provide accurate and complete information regarding event requirements
• Make timely payments as per the agreed schedule
• Provide necessary approvals and decisions within reasonable timeframes
• Obtain all necessary permits, licenses, and insurance (unless contracted to us)
• Comply with venue rules and regulations
• Inform us immediately of any changes to event details

5. Intellectual Property Rights

5.1 Event Designs and Concepts

All event designs, concepts, proposals, and documentation created by EGEN Event remain our intellectual property until full payment is received. Clients may not share our proposals with third parties or replicate our designs without permission.

5.2 Photography and Marketing

Unless explicitly declined in writing, we reserve the right to photograph/video your event and use the content for marketing, portfolio, and promotional purposes across our websites, social media, and marketing materials.

6. Limitation of Liability

EGEN Event Sdn Bhd shall not be liable for:

• Losses arising from third-party vendor failures (venues, caterers, entertainers, etc.)
• Damages caused by force majeure events (natural disasters, pandemics, government restrictions, etc.)
• Indirect, consequential, or incidental damages
• Losses exceeding the total contract value of your event

We maintain professional liability insurance, but clients are encouraged to obtain their own event insurance.

7. Force Majeure

Neither party shall be liable for failure to perform obligations due to circumstances beyond reasonable control, including but not limited to: natural disasters, pandemics, government restrictions, war, civil unrest, strikes, or Acts of God. In such cases, both parties will work together to reschedule or find alternative solutions.

8. Confidentiality

Both parties agree to keep confidential any proprietary or sensitive information shared during the course of our business relationship. This includes client guest lists, budgets, and vendor negotiations.

9. Website Use

9.1 Acceptable Use

You agree not to:

• Use our website for any unlawful purpose
• Attempt to gain unauthorized access to our systems
• Transmit viruses, malware, or harmful code
• Copy, reproduce, or republish website content without permission
• Use automated systems to scrape or collect data

• Actions of client's guests or attendees at events

12. Dispute Resolution

12.1 Negotiation

In the event of any dispute, both parties agree to first attempt resolution through good-faith negotiation.

12.2 Mediation

If negotiation fails, disputes shall be referred to mediation before pursuing legal action.

12.3 Governing Law and Jurisdiction

These Terms of Use are governed by the laws of Malaysia. Any legal proceedings shall be subject to the exclusive jurisdiction of the courts in Johor Bahru, Malaysia.
